Note-taking and changing documents are two of the most common things people do on their computers today (maybe they also send emails). We started taking notes in college to keep track of what was said in class, and now we do it for everything from client meetings to gym workouts to our daily to-do lists. 

It’s also very important to be able to share notes and work on them together. Collaboration on team notes like this makes us more productive (because we can work on different things at the same time) and makes it clear what everyone is working on at the moment. 

So how do you ask people to make changes to the notes you’re working on? How do you share files with notes about a certain project? Let’s look into the best choices. 

Share notes in the Notes app

Notes is a program that comes with your Mac. It’s free and can do most of what you’d expect from a note-taking app. Notes work with writing, drawings, pictures, and sound files. It works directly on Mac and iOS, saves your notes even when you’re not online, lets you invite others to view your notes, and also lets them change the note you shared. 

With the Ideas app, there are a few ways to share ideas. The simplest way is to send your note to other people: 

  • Open Notes from the Applications menu
  • Open the note you’d like to send.
  • Click the “Send a copy” button at the top.
  • You can choose between Mail, Messages, AirDrop, and Reminders.
  • Then click the Send button.

How To Copy Notes From One Mac To Another

You can use the built-in features of Mail and Messages to send notes to other people who use iPhone, iPad, Mac, or even Android. 

If you want to send notes from one Mac to another, AirDrop is the best way to do that. Make sure the person you want to share with has Bluetooth turned on and opens the AirDrop tool in Finder. 

If the other Mac you want to share notes with is your own, syncing all your notes through iCloud is even easier. Sign into the same iCloud account on all of your devices, then open Notes. All of the notes should be the same, and any changes will be shown in real-time. 

Lastly, you can use the same iCloud tip mentioned above to sync your notes to your phone. But if you want more control over the process of sharing, you should use AnyTrans for iOS.

You can also order your iCloud content, such as Notes, with AnyTrans for iOS. So all you have to do is connect your phone to your Mac via USB, open AnyTrans for iOS, sign in to iCloud, and choose which notes you want to copy over.

How to Enable Collaboration in Notes

In the original Notes app, you can share notes, and there’s also a handy way to work on notes together in real-time. In Notes, you can only work together on a note if it is saved in iCloud and everyone has a valid Apple ID. You also need macOS Sierra 10.12 or a later version.

To let other people see your Notes: 

  • Notes from Applications on How to Launch
  • Open the note you’d like to send.
  • Click the “Share this note with others” button in the top bar.
  • Choose if you want to share a note through Mail, Messages, AirDrop, or a link.
  • Click on Share

How to Remove Access in Notes

Not every collaboration lasts for a long time. So, once your team has made all the needed changes to your note and you want to make it private again, you can do that quickly. 

  • Launch the Notes app and open your note.
  • Click on the icon in the top bar that looks like a team.
  • Click  Stop Sharing
